STATUS: Permanent, Full Time

LOCATION: Home Office Based

Primarily remote in Ontario, Canada (Candidates are required to reside within the GTA, maintain a private and safe workplace, and have a high-quality internet connection. Candidates are required to be in Mississauga office minimum one day per week, with potential for additional visits as needed).

HOURS OF WORK: 35 hours/week

GRADE: Grade 7

The hiring range for this position ranges from $76,503 to $90,848, with the opportunity to grow within the broader salary range of $76,503 to $114,755 as you advance in your role.

Role

Reporting to the Vice President, Corporate Services and CFO, the Corporate Services Lead is responsible for leading facilities management responsibilities for the organization, as well as a variety of administrative tasks that contribute to the efficient day-to-day operations of the Corporate Services Division. The role provides a variety of both routine and specially assigned administrative and coordination functions to the Vice President, Corporate Services and CFO and the Corporate Services Management Team. The incumbent must be able to perform with a high level of accuracy, attention to detail, professionalism and integrity with respect to sensitive and confidential information, working with external vendors and partners across the organization, and be able to work under minimal supervision. Further the role requires excellent time management to meet the demands of multiple priorities and partners.

Responsibilities

Note: Percentages refer to approximate % of time spent on each area, over the course of a given year.

Executive AND Administrative SUPPORT (60%)

  • Provides support for the Vice President, Corporate Services & CFO, as well as the Corporate Services Division management team in an accurate and timely manner.

  • Provides expertise, advice, recommendations, and support to the VP Corp Services & CFO on operational, administrative, policy and procedural matters affecting the division.

  • Assesses and manages contentious, confidential and sensitive issues, identifying nature and complexity of issues, recognizes organizational implications and risks, and formulates appropriate level of response.

  • Designs and implements a variety of divisional processes for monitoring and reporting on initiatives and improvement opportunities, status of deliverables and facilitates timelines and accountabilities.

  • Establishes and maintains strong working relationships with key partners, internal and external clients to ensure timely and accurate information flow and identification of issues.

  • Prepares meeting materials and take meeting minutes

  • Prepares correspondence, spreadsheets, presentations using MS office

  • Supports Accounts Receivables department through tracking of cheque payments

  • Supports P.O’s/invoices across teams

  • Manages file records (physical and electronic), photocopying, scanning

  • Assists in the preparation of regularly scheduled reports

  • Conducts research for special projects as necessary

  • Arranges travel for Vice President, Corporate Services and CFO as well as Corporate Services management when needed.

  • Orders supplies for Corporate Services managers and other staff members as requested

  • Coordinates Vice President, Corporate Services and CFO’s calendar, schedule and appointments

  • Coordinates events for Corporate Services as well as supporting company-wide events

  • Provides procurement related support to the Corporate Services Division by:

  • Ensuring all pertinent information, documentation and processes related to procurement activities are in compliance with WSPS policy, and Broader Public Sector Procurement Directive.

  • Managing the vendor selection process to adhere to policy and directive requirements, including occupational health and safety management system requirements.

  • Obtains WSIB and Liability Insurance certificates for corporate offices and employees when required by potential clients for all offices, conferences, and training events expediently. In addition, responsible for organization’s insurance policies including annual renewal and broker procurement as needed.

FACILITIES MANAGEMENT (40%)

  • Oversees the management, maintenance, and efficient operation of WSPS’ corporate office facility, ensuring that the physical space and systems are safe, functional, and meeting all operational needs while maintaining compliance with all applicable regulations.

  • Leads procurement activities for variety of vendors to support the office’s operational requirements.

  • Coordinates repairs, vendor contracts, and implements safety protocols in collaboration with WSPS OH&S Specialist.

  • Acts as WSPS’ main point of contact with the landlord and its property management department, as well as with vendors needing access to the space.

  • Administers access protocols for office space, ensuring compliance with established office access protocols.

  • Maintaining office and kitchen supplies; keeping track of stock

  • Supports development and maintenance of WSPS’ Business Continuity Plan.

Contributes to a healthy and safe work environment (at all times)

  • Complies with all Health and Safety policies, procedures and company rules established in WSPS Occupational Health and Safety Management System (OHSMS).

  • Contributes to promoting a healthy, safe, and respectful culture

  • Complies with the Occupational Health and Safety Act and regulations

Skills and Experience

Minimum:

  • Undergraduate degree business administration, or related discipline, or minimum 5 years of related experience in corporate administration and/or operational planning

  • Familiarity of project management principles and methodologies to manage the delivery of program plans, initiatives and goals

  • Knowledge of protocols and practices of an executive office

  • Strong political acuity to effectively engage with internal and external stakeholders

  • Strong communication skills, both written and oral, including managing sensitive information with diligence

  • Strong leadership abilities demonstrated through the capacity to inspire and positively impact others

  • Proficient in Adobe Acrobat and Microsoft 365 (Teams, Outlook, Word, Excel, PowerPoint)

  • Ability to analyze the content of reports and presentations and the needs of the audience in order to select the most appropriate software application (s) to create the most visually appealing and compelling format for the presentation of knowledge.

  • Must be a good organizer and a strong time manager

  • Good judgment and strong problem-solving abilities

  • Applicants will be required to provide an original criminal background check at their own expense prior to commencing work with WSPS. The criminal record check document must have been issued no more than 30 days prior to first day of employment.

Preferred:

  • University Degree in Business Administration or related discipline

Additional Requirements:

  • Candidates are required to reside in the province of Ontario (or National Capital Region), maintain a private and safe workspace, and have a high-quality internet connection.

  • To support success in building connections, inclusion and collaboration, a minimum level of in person presence for the purposes of meetings is required for all team members as of July 2026:

  • Divisional Meetings on a quarterly basis.

  • Team Meetings on a monthly basis.

  • All client-facing and external stakeholder (such as the Ministry) meetings will be held in the format preferred by the client or stakeholder, whether in person or virtual.

  • An all-employee meeting (Staff Days or equivalent) will be organized annually. All employees are required to attend the annual meeting in person.
